Key Policy
Every deal in this column has a rate hold on file. The pre-qualified / pre-approved distinction is intentionally collapsed — if a file is here, it has a rate hold. Pre-approval expiry is tracked via deal labels in EP to allow sorting by expiry date.

Confirm rate hold activity received and submit

Receive the rate hold activity set by the Broker. Submit the rate hold to the lender. Move the card to Pre-Approved once submitted. All files in this column should have a rate hold on file.

Monitor rate hold expiry

Pre-approval expiry dates are tracked via deal labels in EP. Monitor for upcoming expirations — rate holds have a limited window before they must be renewed or the file moves out.

Discuss renewal with Broker. Renew the rate hold if the deal is still active and the client intends to proceed.

Broker routes to Did Not Qualify or Deferred Opportunity as appropriate.

Monitor for live deal trigger

Broker stays in contact with the client and monitors for the live deal event — typically an accepted offer with a condition date. This may take days, weeks, or months depending on the client's search timeline.

When a live deal event is confirmed (offer accepted, condition date set), move the file forward. This stage has urgency — condition dates are typically tight.
